What you will do:

  • Manage the office to ensure smooth flow of the department activities , i.e. field phone calls and emails to maintain open lines of communication to the Safety Department, provide information and assistance to employees and visitors
  • Issue Daily Safety Update distributing current incident statistics to management, employees and contractors
  • Manage the prescription eye glass program ($120,000 budget) for White Springs, by verifying eligibility, communicating with employees, their optometrists and contract lab, keeping records of prescriptions, making decisions regarding the manufacturing of the glasses, authorizing eye exams, and reviewing all invoice for payment. Utilize spreadsheet to maintain allotments within the guidelines.
  • Assist employees with minor eyeglass repair as needed
  • Enter requisitions and supplements in the Oracle system to maintain supplies and services
  • Assist safety manager and safety specialists by providing documents and updates on relevant material
  • Input injury/incidents in EtQ database to provide month end reports
  • Collect the Actual Hours Worked from departments and contractors to provide the month end Injury Statistics Report for distribution to all departments
  • Maintain employee safety files to insure information is available when needed.
  • Maintain ear plug supply ensuring an ample inventory is available for distribution.
  • Coordinate department vacation report to maintain proper Safety Department coverage.
  • Organize monthly safety steering committee agenda to insure the proper material is covered during the meetings.
  • Prepare and submit MSHA 7000-1 injury reports and MSHA 7000-2 quarterly reports as required by MSHA regulations.
  • Maintain and provide required reports during MSHA Inspection.
  • Prepare OSHA 301 injury reports, maintain OSHA 300 form, complete and post annual OSHA 300A Form as required by OSHA regulations.
  • Participate in Emergency Management Group drill.
  • EtQ Conference Calls to discover new information on modification and updates to the system.
  • Coordinate New Chemical Approval process to insure all materials have proper approval.
  • Coordinate management of SDS on-line system in EtQ to provide the required SDS information as requested.
  • Safety Recognition Award meals and gifts for each employee.
  • Coordinate Lunches (ERT, Audits, Mtgs, etc).
  • Maintain updates of all safety forms and posting on intranet to insure the proper documents are available.
  • Maintain updates of job training documents and posting on intranet to assure the correct training information is available.
  • Maintain updates of all variances and posting on intranet to insure the accuracy of available variances.
  • Maintain updates of Safety Regulations, Comprehensive Emergency Management Plan and Standard Operating Procedures relating to safety procedures and policies
  • Assist with random drug testing
  • erve as travel coordinator as needed for personnel in the department

What you will bring:

  • High School Diploma
  • Computer skills and knowledge of Microsoft Office (Excel/PowerPoint), required.Knowledge of Oracle, preferred.
  • 1-3 years of office experience required.
  • 3-5 years of office experience preferred.
  • Ability to manage in a structured environment.
  • Abilityto make independent decisions when guidance is not available.
  • Ability to learn quickly through written and on the job training, this would be displayed with formal education or prior experience.
